Please submit LOI reefer using below template on this link
- Upload 1 LOI for 1 Booking Number, if you need to upload the other booking number, please resubmit again the new entry form.
- Filename format: Reefer LOI [LINER] **[BOOKING NUMBER]. Example: Reefer LOI MAERSK **987654321
- Ensure to include (company letterhead, complete data & in the signature slot to put Duty Stamp/Materai IDR 10.000, company stamp, date signature) in LOI.

Request Switch Bill of Lading Procedure
- Customers can raise Switch BL request through email id.export@maersk.com using Subject: Request SWITCH BL XXXXXXXXX
- Customers can proceed to endorse and surrender below required documents to Maersk counter office
- Full set original BL
- LOI for Switch BL request using Company’s Letter Head (complete with stamp duty IDR 10.000 + Signature)
- Settle Switch BL Fee IDR 1.200.000
- Customer can use below template if the payer party that absorbed the switch charges is different from the party that surrender the switch letter.
Notes: Switch BL can only proceed by origin before Import Manifest submitted by destination office.

Dangerous Goods (DG) container labelling and marking have to follow guidance
- All DG documents should be submitted latest 96 Hours Prior ETD. If deadline falls on the weekend, documents will need to be submitted the weekday before. All documents need to be approved to secure loading.
- Late submission/non- approval of FINAL MDGF will result to containers being shut out and renominated to the next feeder with the "alih kapal" process to be done by the customer.
- Dangerous Goods (DG) shipments will not be accepted on 082 Service from Jakarta
- Maximum Storage period for containers with DG (FCL, LCL, or Transshipment) counted based on vessel’s Estimated Time of Berthing (ETB), following below details

Pre-cooling of Cargo
It is of utmost importance that the cargo is pre-cooled to the prescribed carrying temperature prior stuffing in order to avoid damage to the cargo during transportation.
Ideally, the carrier accepts those commodities which have been pre-cooled to the correct transport temperature.
Commodities that are not adequately pre-cooled prior to loading into the reefer container place an undue stress to the container's refrigeration system. This may affect the refrigeration system's performance.
Pre-cooling of Container
- Pre-cooling of reefer containers must be avoided.
- The reason for not pre-cooling the container is that a lot of condensed water will be produced as soon as the doors are opened, if the ambient temperature is high.
- Pre-cooling of a container should only take place in those cases where the cargo is transferred into the reefer container in a cold store.
Hotstuffing
Cargo which has not been cooled to its carriage temperature prior stuffing is deemed to be hot cargo- and if the same is consequently stuffed in the container, the container is deemed to be hotstuffed.
The reefer container is designed to maintain the set temperature for carriage and not to bring down the temperature of the commodity.
Hotstuffed cargo will give rise to the following:
- Poor circulation of air inside the container leading to some of the cargo not being cooled adequately.
- Frequent defrosting cycle due ice formation on the evaporator during which time the cooling apparatus shuts down.
- Cargo damage due condensate re-freezing on the cargo/packing leading to claims at the destination port.
Maersk strongly advise against hotstuffing of cargo in our reefer containers but if the shipper insists and is willing to take full responsibility for cargo damage and possible claims, then the Bill of Lading will be claused as such.

- All LOI must be printed using Company's letterhead and use duty stamp (materai) IDR 10.000.
- Scanned file must be sent to id.export@maersk.com prior sending the hardcopy to our office.
At Maersk, we believe in the utmost safety of our equipments and our crew involved with handling these equipments along with your cargo at sea.
In light of this, our customers will be asked to follow certain set of procedures whenever there is loading of coils and other metal materials which is over 2 metric tons with immediate effect.
Below is the procedure we are expecting our customers to follow:
- On maersk.com website while placing online booking please select commodity code as 002317 (even though your cargo is Steel coils, metal coils, aluminum coils or wire coils and Plates please select the same).
- After customer place the booking with this code customer will get email after booking confirmation from our side to provide necessary details.
- After customer pick up container, stuffing photos/images in word file template format need to be sent by email latest by 96 hours prior to ETD vessel.
- PRIOR GATE IN: Once the approval is given by our cargo compliance desk, Customers containers will be deemed safe to load on the scheduled vessel. Accordingly, customers can gate in their containers (containers are not allowed to gate-in to CY before the required stuffing photo is approved).
Notes:
- Please do not gate-in Containers until Stuffing wise acceptance is received from our side.
- Important note: Unless the pictures of stuffing and securing are sent and stuffing acceptance confirmation received from our end, kindly do not seal the box or move them to gate in. Improper lashing / securing can be unseaworthy and pose threat to life and can damage crane/vehicle/cargo/container and/or vessel.
- Commodity Coil is not allowed for NAM inland movements (TRK/RAIL).
- Stacking of Coil on each other is also not allowed.
Policy applied for :

- In one-word file please send us maximum 12 to 13 photos only.
- Please rename the word file name ONLY same as ‘container number’ and don’t give any other name. Example “BMOU2978465”

Charcoal Shipment Procedure
Other names for the charcoal product can include but is not limited to:
Biowood, biofuel, charcoal briquettes, coco shell briquettes, coconut shell brics, hardwood pulp briquettes, wood briquettes, wood pellets, wood pulp briquettes, charcoal expellers, BBQ briquettes, natural carbon/pure charcoal, charcoal non-modified, mangrove charcoal, charcoal residue - and more.
There is a list of requirements that need to be met to obtain loading acceptance to export charcoal with Maersk.
Please find a comprehensive outline of the requirements as well as any additional information pertinent to the matter.
Initial Acceptance (Prior to Place Bookings)
The local Maersk office will apply for acceptance to load either restaurant or barbeque charcoal from our principals on behalf of the charcoal producer.
A charcoal manufacturer can only book a shipment once passing this initial acceptance process through a factory audit done by a Maersk's approved surveyor: Carsurin. Customers who has never ship charcoal wth Maersk can reach out to Carsurin directly at charcoal@carsurin.com to get the manufacturer audited. Maersk will then decide whether the manufacturer is eligible to ship charcoal or not with main reference to the initial company audit.

Since August 20th 2019, all customers who misdeclare their Dangerous Goods will be charged a Misdeclaration Fee of 5,000 USD per booking. Any additional costs that will result from taking corrective action (such as correcting the stowage to a safe position on board the vessel, etc) will be charged on top of this fee.
Example : Customer declares cargo as non-dangerous when it is in fact dangerous (i.e. the cargo is charcoal which is Class 4.2 but declared as “coconut products”, etc.)

The following documentation needs to be submitted in order to make the booking application
- Material Safety Data Sheet
The MSDS must have the same entity (producer) indicated as the Self-Heating Certificate, Weathering certificate, Shippers declaration and Commercial invoice. The MSDS must indicate the use of the charcoal (only one use). MSDS must be in English. - Self-Heating Certificate
The Self-Heating certificate may not be older than six months and must be accompanied by an official accreditation letter of the laboratory. - Accreditation letter of laboratory
Certificate confirming that the laboratory performing the test has been approved by the competent authority. - Business Presentation / Company Profile
The Business Presentation should indicate the type of charcoal produced as well as the intended use of said charcoal. This is submitted only once as part of the initial acceptance procedure. - Weathering Certificate
This certificate is to be issued by the producer of the charcoal and below criteria are shall be met.- Dated, signed and stamped from shipper (real producer of the cargo)
- Detailed information about weathering process
- Minimum 14 days weathering before packing into bags
- Container and booking number
- Vanning Certificate
The Vanning Certificate must be issued by an official and independent Marine Surveyor after a physical inspection of the vanning of the cargo, and must be dated, signed and stamped by same. The Shipper is reminded that any misdeclaration of information shall remain his responsibility.
Following criteria must be checked and confirmed:- Photos of cargo during stuffing container, incl. minimum one photo of the cargo without the outer packing
- Weight of each bag
- Container is packed in accordance with IMDG code and CTU packing guide
- Packings are new, air tight, intact and suitable for the cargo
- Temperature of cargo is not exceeding ambient temperature by more than 5°C
- Packaging and interior atmosphere is clean and odorless, no presence of fumes or smoke
- 1 kg sample has been taken during stuffing and cargo has been identified as declared by shipper. The sample retained for minimum 3 months in surveyors office and is always available for ML review.

Stating real end user and use of the cargo at final destination, weight of each bag and must mention booking number. Duly dated, signed and stamped on shipper’s letterhead. - Commercial Invoice
After Booking Accepted (Prior to Container Load)
After receiving booking confirmation from Maersk and performing cargo stuffing customer has to submit the shipping instruction with the mandatory details along with the above-mentioned 8 documents to Maersk’s documentation team latest by 96 hours prior to ETD vessel. Approval for container load will be given if all documents are consistent and no anomaly or misdeclaration is found. In the cases where documents is found incomplete or discrepant, the container will not be loaded and all costs and consequences are to be borne by shipper and/or booking party. As one of efforts to minimize physical interactions & the spread of COVID-19, Maersk Indonesia will enforce full usage of the “Web Bill of Lading (BL) Printing” access to all customers who use Original Bill of Lading (OBL) documents. By utilizing this feature, customers will no longer need to come to Maersk counter for printing the OBL (1st issuance). Customers can directly print documents with Secure Paper anytime and from anywhere.
Customers who always use the Seawaybill document type, are not required to register for Web BL access (Seawaybill has automatically been uploaded to the website & does not require Secure Paper for printing - You can print directly from your site by using white paper in A4 size & no need to go to Maersk counter).

How to register?
In order to get the access, please fill the web printing access agreement
- At the first page, fill in the required data
- company name
- customer code
- complete address (street name & number, house/building name & number, floor, block/kavling, city, province, postal code)
- username that will be granted the printing access (user name format must be no spaces)
- At the last page, use IDR 10.000 (ten thousands rupiah) duty stamp (materai), signature, company stamp, signatory person name & company name
- Send the SCAN (SOFT FILE) complete document & SCAN of Company’s NPWP (Nomor Pokok Wajib Pajak) in PDF file through email id.export@maersk.com. Once your data has been checked & validated, you will get approval to proceed further.

- If you send the hardcopy without notifying us, your submission can be potentially rejected due to data discrepancy.
- Any data changing as per 1st page of agreement, you need to resend the agreement with latest update data.
- If technical reasons (for example, difficulty in printing etc.) require printing more than it should be, the customer must have the written authority of Maersk. Customers must submit a hardcopy / printed Letter of Indemnity (LOI) on white paper with duty stamp IDR 10.000 (ten thousands rupiah), signed by Registered User & company authorities, to Maersk counter or parties appointed by Maersk.
- Letter of Indemnity (LOI) will not required for the process of revisions / amendments of the Original BL, however the customer still has to return the full set of the old OBL.
How to Pick Up Secure Paper?
If you are located within these area: JABODETABEK, Surabaya, Semarang, and Medan you can get the blank secure paper directly at our counter. Kindly come to our Counter based on the address you stated on EBL agreement to pick up the Secure Paper with Surat Tugas & the copy ID (KTP only).

Note:*Demurrage is charged separately by terminal
This means you will have separate free time and compensation for utilisation of equipment inside (Demurrage) and outside (Detention) of terminals or depots while storage is not applicable and still be collected by terminal directly.
Detention: Compensation payable when the Merchant holds Carrier's Container outside the port, terminal, or depot beyond the agreed amount of Free Time.
Demurrage: Compensation payable when the Merchant holds Carrier’s Container inside the terminal, port, or depot beyond the agreed amount of Free Time (the compensation includes terminal storage costs). Export Demurrage at Indonesia is collected by a terminal directly.

Individual and Embassy shipments are restricted.
Exceptions must include personal movers or international forwarders.
Dangerous and Poisonus Waste
Do not accept cargo if:
- Waste is from unspecific sources such as maintenance, washing, packing of tools.
- Wasts is from specific sources such as industrial process or certain activity.
- Waste is from expired chemical substances, packing-scrap and off-grade or by-products
Export of recycled commodities (wastepaper, scrap metal, used plastics) out of Indonesia can be done as long as:
- Shipper has got their cargo inspected by approved surveyor before stuffing and the certificate of survey (Laporan Survey/LS) has been issued by PT Surveyor Indonesia or PT SUCOFINDO or their agent in the origin countries (Indonesia's Ministry of Trade regulation no 39/M-DAG/PER/9/2009 article 18).
- Shipper will also need to make sure that their consignee has obtained the necessary license to import non-hazardous waste from the Ministry of Trade. Consignee should refer to the following link to get the license: click here.
- No Acceptance for commodity Zinc Oxide. For commodity Charcoal, Carbon and its associates (Other names for the product can be but is not limited to: Biowood, Biofuel, Charcoal briquettes, Coco shell briquettes, Coconut shell bricks, Hardwood Pulp Briquettes, Wood briquettes, wood pellets, wood pulp briquettes, charcoal expellers, BBQ briquettes, natural carbon/pure charcoal, non-modified, mangrove charcoal, charcoal residue, etc.), it will be subject to approval for loading. Any booking for these commodities that cause loading cancellation will be out of carrier liability.
- Whale/Shark. Sealand Maersk cannot accept whale meat or whale products nor shark meat or shark products. Sealand Maersk is committed to avoiding transport of endangered wildlife products in our networks. Endangered wildlife products are plant and animal species listed in the Convention on International Trade in Endangered Species of Wildlife Fauna and Flora (CITES).1 They include species for which trade is prohibited. This is international regulation where most of other shipping company do the same.

Seals |
Information
Container seals are essential in guaranteeing the safety of the cargo inside the container. To aid our customers in attaching the designated seal to a particular container, Maersk have instructed our depots to provide to the freight forwarder a plastic bag containing the seal with the corresponding container number written on the plastic. By ensuring that the seal is correctly attached to the designated container, the shipper has to a large extent secured the safety of his cargo until arrival to its final destination. Any container with broken or damaged or missing seals is automatically considered suspect by Maersk and the same is canceled from loading until such time that a survey including officials from the terminal, customs, shipper's representative, Shipping line representative are present, a tally taken of the cargo and then the box is re-sealed if all in order. |
